Networking Circle is operated by [Your legal entity name] of [address], New Zealand. We handle personal information in line with the Privacy Act 2020 and its information privacy principles.
What we collect
- When you register: your name, email address, business name, your role, the category you pick, where you are at with AI, and what you say you need right now.
- Optional profile details: phone number, location, website, LinkedIn, a short bio, what you can help with, and whether you are currently looking to buy or hire.
- Taking part: which Circle you are in, which sessions you say you will attend, which you actually attended, and whether you have presented or co-hosted.
- Technical: standard web server logs and the cookies described below.
Why we collect it
- To run your membership and give you access to the member portal.
- To place you in a Circle with a sensible mix of members.
- To organise sessions and tell you when they are on.
- To let other members find you and make useful introductions, if you choose to appear in the directory.
- To track the facilitator pathway, which depends on recorded attendance.
Who can see it
- Other members: your profile, including your current ask, is visible to logged-in members while you are listed in the directory. You can leave the directory at any time from your portal, and your email address, phone number and any private notes are only shown where you have put them on your profile.
- Your facilitator: can see the roster for their own Circle, including each member’s category and current ask.
- Us: the people who run the network.
- Our suppliers: [web hosting, email delivery, payment processing, and any other third parties you use]. They only handle what they need to in order to provide their service.
We do not sell your personal information, and we do not rent or trade the member list.
Cookies
We use cookies that keep you logged in and remember your preferences. [List any analytics or advertising cookies you use, and how people can opt out.] You can block cookies in your browser, but the member portal will not work properly without the login cookies.
How long we keep it
We keep your account information while you are a member and for [retention period] afterwards, so that we can deal with questions and meet our record-keeping obligations. Attendance records are kept for the same period. After that we delete or anonymise it.
Your rights
Under the Privacy Act 2020 you can ask to see the personal information we hold about you, and ask us to correct it if it is wrong. Most of it you can view and change yourself in your portal. For anything else, email [email address] and we will respond within 20 working days.
Deleting your account
Email [email address] and we will close your account and remove your profile from the directory. Some records may be retained where the law requires it.
Security
The site runs over an encrypted connection and passwords are stored hashed, not in plain text. No system is perfectly secure. If a privacy breach occurs that is likely to cause serious harm, we will notify affected people and the Office of the Privacy Commissioner as required.
Where your information is held
